TCSW REGIONAL PROGRAM CHAIR


JOB RESPONSIBILITITES


 


A.      Major Tasks


 



  1. Schedules, plans, and executes the Fall Regional Training Conference for TCSW with the assistance and guidance of the Regional President and Steering Committee.


 



  1. Serves as a member of the Regional Steering Committee/ or Board chaired by the Regional President, and works with all Chairs, especially those closely related to the training conference.


 



  1. Includes representatives of TCSW Member Agencies and Special members on the Program Planning Committee.  (The Regional President and Membership Chair have those lists.)


 



  1. Contacts and thanks all participants for the Regional Fall Conference.  The TCSW Executive Director, Shelby Tabeling, will assist you with suggestions of individuals in specific fields, who might be Presenters at your conference.  We can supply you with TCSW stationary, but if you want responses to your own address indicate that in your letters, otherwise (and sometimes even if you’ve given a local address) all responses come to the state P.O. Box.  If that occurs we will fax those responses to you the same day.


 



  1. Handles all program printing according to instructions, unless Public Relations Chair or another Regional Chair is to do that, and keeps Training Conference Budget in mind before authorizing any expenditures.


 


B.      Guidelines


 




1.   The TCSW State President (or President-Elect) attends all Regional Fall Training Conferences and gives an opening


“Greeting” (usually no more than 5 minutes in length).  The Greeting should be listed on your program prior to a Keynote speech (if you have one), or at the plenary session, or luncheon.


 


3.       Each Region must use the TCSW logo on all printed material and you ALSO must use the word Training in all printing.  You are encouraged to ask for donated printing and other material.  TCSW is a 501 (c) (3) organization and will acknowledge the value of the donation for the donor’s tax records.


 


4.       TCSW is exempt from state sales tax.  Call the TCSW office for these forms and be sure you have addresses and details.  The vendor may request the check be from TCSW so let the state office know if that is the case.


 


5.       The State office will provide mailing labels or email addresses for your Regional flier and brochures about the Training Conference or free quarterly trainings.    More recently (and for larger regions) TCSW can e-mail our list to your mailing service who can automate the mailing and save you funds.  


 


6.       If TCSW has a training contract that involves having some of the Regional workshops devoted to specific topics, you will receive details about those by early July.  In the past we have had contracts with T.D.H.S., the TN Commission on Aging, and the TN Health Care Campaign (THCC).  This year we have an agreement with TN Protection and Advocacy, Inc. and the TN Disability Coalition to work on Voter Registration and Accessibility.  Please reserve a time slot for such a workshop.  We will confirm details in June or July.


 


C.      Helpful Hines


1.              Please review all job responsibilities with and for those who will be working on the Fall Training Conference, so you are familiar with the many details.  This saves much “last minute” confusion.


 


2.             TCSW Regions individually plan their own regional training conferences (timing, dates, themes, workshops, and general


sessions) to suit the needs of the Region. All publicity and printing for these meetings is done in the regions because you are closer to the source.  However, the state office will post templates for press releases and local contact information on hand. The TCSW state office is happy assist with suggestions or speakers from government and other nonprofits with expertise.  Call Shelby for ideas.


 


3.             A Business Session (chaired by Regional President) should have a place on your agenda.  At this time, all Regional Chairs


should be recognized.  The Public Policy Chair may ask for volunteers who are interested in serving on that committee and the Nominating/Awards Chair may explain TCSW Nominating Procedures and solicit suggestions from the regional membership.  Agendas for Training Conferences have great variety across the state, but we encourage you to involve the membership in your region at your fall conference.


 


4.             Fall Training Conferences attract new members to TCSW, if a workshop is planned to meet their needs and if they get


information about the conference.  Working with the membership chair and reviewing the final membership report from the prior year, you can see “week” and “strong” sectors of membership in your region.  The P.R. Chair can help you “publicize” a special workshop/or speaker if you want to reach a special group.


 


5.             New members add vitality to TCSW and we are always looking for way to stimulate interest.  Add some new people to the program planning committee, and suggest some for other committees; let the state office know what works best for your region.
